Bengal Global Business Summit (BGBS) 2018 marked a milestone event for West Bengal as it aimed to position the state as a premier investment destination. Held on January 16–17, 2018, at the newly inaugurated Biswa Bangla International Convention Centre, Kolkata, the summit brought together over 4,000 delegates from 32 countries, including global leaders, policymakers, and industry stalwarts such as Mukesh Ambani, L.N. Mittal, and Sajjan Jindal.

As the event management partner, our task was to transform the state-of-the-art convention center and an adjacent open ground into a seamless venue for plenary sessions, exhibitions, B2B/B2G meetings, and international delegations while maintaining strict protocol and delivering a world-class experience.

Key Objectives

1. Showcase West Bengal as a top investment destination with innovative event design and seamless execution.
2. Create a comprehensive venue setup that facilitated high-profile interactions, business meetings, and exhibitions.
3. Coordinate with global stakeholders, including delegates from 32 countries and over 1046 B2B and 40 B2G meetings.
4. Ensure flawless execution of protocols, especially for the Chief Minister’s office and international dignitaries.

Challenges

1. Multi-Venue Management: Transforming the newly constructed Biswa Bangla Convention Center and adjacent open grounds into exhibition, meeting, and event spaces.
2. High-Profile Protocols: Managing logistics and security for dignitaries, including national leaders, international ambassadors, and CEOs.
3. Simultaneous Sessions: Coordinating 12 sectoral sessions and 4 country-specific meetings with overlapping schedules.
4. Global Delegations: Managing large-scale participation from countries like Japan, Germany, Italy, and China.
5. Tight Timelines: Delivering a flawless setup for the inaugural event in the new convention center.

Our Approach

1. Venue Transformation:
   • Designed a dynamic setup converting adjacent open grounds into hanger-style exhibition and meeting spaces.

   • Organized country-specific pavilions and meeting lounges to foster partnerships.

   • Streamlined movement and scheduling for over 4,000 delegates across multiple venues.
   • Managed exhibition setups, session logistics, and high-profile entry protocols simultaneously.
